Mediation4U ASBL is committed to protecting your personal data. This privacy policy explains what data we collect, why, how we use it, and what your rights are under the General Data Protection Regulation (GDPR — EU Regulation 2016/679).

We only collect data that you voluntarily provide to us, mainly through our contact form or by email:

• Identification data: first name, last name, email address, telephone number (optional)
• Content data: content of your message, description of your dispute or request
• Technical data: IP address, browser type, pages visited (via analytics tools, if applicable)

We process your data for the following purposes:

• Respond to your requests for information
• Assess whether mediation is suitable for your situation
• Direct you to the most relevant mediator within our team
• Communicate about our services (only with your prior consent)
• Comply with our legal and accounting obligations

The processing of your data is based on:

• Your consent (Article 6.1.a GDPR) when you send us a contact request
• Contract performance (Article 6.1.b GDPR) if you become a client of Mediation4U
• Legal obligation (Article 6.1.c GDPR) for our accounting and administrative obligations
• Legitimate interest (Article 6.1.f GDPR) for site security and improvement

Your data is only accessible to authorised members of Mediation4U ASBL. It is never sold or transferred to third parties for commercial purposes.

Your data may be shared with:

• Our accountant, for accounting obligations
• Our technical service providers (hosting: Netlify), under contract and GDPR-compliant
• Any competent authority, on legal request

6. Confidentiality of mediation

Once mediation begins, your data and everything shared during sessions are protected by the reinforced confidentiality of Article 1728 of the Belgian Judicial Code. Nothing can be shared or used outside the mediation, not even by a judge subsequently seized of the matter.

7. Retention period

• Simple contact request: 12 months, then automatic deletion
• Mediation case: 5 years after case closure (statute of limitations)
• Accounting data: 7 years (Belgian legal obligation)
• Analytics data: 14 months maximum

Under the GDPR, you have the following rights:

• Right of access: know what data we hold about you
• Right of rectification: correct inaccurate data
• Right of erasure ("right to be forgotten"): ask for your data to be deleted
• Right to restrict processing: temporarily freeze the use of your data
• Right to data portability: receive your data in a reusable format
• Right to object: object to the processing of your data
• Right to withdraw consent: at any time, without justification
